An AI matching plugin translated into a practical recruiter workflow

Actonomy develops AI software that integrates with existing ATS and CRM systems. The plugin helps recruiters match candidates with vacancies more quickly and effectively, based on skills, experience and data from multiple sources.

Studio Fox was commissioned to handle both product design and UX/UI design to rethink the existing interface and reduce the system’s complexity to a clear, usable flow.

The existing product was technically robust but visually and structurally outdated, with cluttered screens and a lack of clear hierarchy in data and actions.

Bringing structure to an AI-driven matching system

We began with an in-depth analysis of the product, the users and the context in which the plugin is used within existing HR systems. The aim was not to redesign features, but to make the logic behind the product understandable to recruiters who work with large volumes of data on a daily basis.

We mapped out the entire user flow, from searching for candidates to interpreting AI matches and refining results. This revealed that the complexity lay primarily in the lack of structure and prioritisation of information, rather than in the functionality itself.

Based on this, we redefined the basic flow into a clear structure: search, refine, interpret and select. This became the basis for wireframes and all subsequent design decisions.

Design & build

A phased search and filtering experience at the heart of the product and workflow

The interface has been redesigned to offer an improved search experience. Users start with a simple search query and location, after which results appear immediately. This creates an immediate feedback loop between input and result, without any unnecessary intermediate steps. The actions involved in searching, filtering and navigating have been restructured so that the user always understands where they are in the process.

From complex filtering to a logical, layered interaction

The original filter structure was comprehensive but difficult to read and not very intuitive. In the new design, filtering has been broken down into clear layers that provide greater control step by step. First come the basic filters, after which the user can refine the search further using more advanced parameters, with more complex logic only becoming visible when it is actually needed.

 

Interpretation of AI matching rather than pure data output

The AI matching has been reworked so that results are not merely displayed as a score, but are also presented in a way that makes sense within the context of skills, experience and source data. This increases confidence in the results and makes the system’s decisions more transparent for recruiters.

Wireframes as the structural backbone of the product

Before the UI was developed, we created detailed wireframes to map out the plug-in’s entire structure. This phase focused on information architecture, priorities and user flow rather than visual details.

The wireframes formed the basis for both the interface and the subsequent design system.

 

A scalable design system in Figma

In parallel with the UI, components and design tokens were developed within a modular design system. This ensured that the product could evolve consistently and that new features could be built using the same logic.

The system included typography, colours, inputs, filters, tables and reusable layout patterns that integrate directly with the complex data flows within the platform.

Use & engage

An interface that adapts to the recruiter’s workflow

The new experience is designed around the idea that recruiters do not need all the information at once, but should be able to explore it step by step. The interface supports this approach by releasing information progressively.

Transparency in AI matching and data context

Each match is made clear by keeping the underlying logic visible. Recruiters don’t just see a score; they also see how that score is calculated and which data contributes to it.

 

Faster analysis of complex datasets

By reorganising lists, filters and detailed views, it becomes easier to navigate large datasets quickly and identify relevant candidates without causing cognitive overload.

Approach and results

A product design process that transforms an outdated plugin into a scalable UX foundation

The project resulted in a redesigned product structure, a new UX flow for search and filtering, an improved way of interpreting AI matching, and a comprehensive design system in Figma that supports further product development.

The new experience forms the basis for a more consistent and scalable evolution of the Actonomy platform across various ATS environments.
