Vandelanotte

We started with Initeam’s functional specification document and translated the scope into a clear user journey. The aim was to design an interface that guides you through the process, whilst remaining fast for experienced users.

We took into account different types of users and the fact that the platform must be able to run both as a standalone solution and within a broader environment comprising multiple Vandelanotte apps. We also incorporated future expansions, such as additional sales phases and the requirements for e-invoicing, into the structure.

In doing so, we developed the key screens that make a difference in day-to-day use: login and onboarding, a dashboard with smart shortcuts and a sales overview, creating invoices with options such as recurring payments, managing items or sales lines to speed up invoicing, an overview of invoices with sorting and filtering options, customer management, and account settings such as company details, letterhead and language options.

We then translated the UX wireframes into a visual design that aligns with Vandelanotte’s existing branding. The final UI design consists of a limited set of detailed screens, but was delivered with a compact design system so that the development team could build the remaining pages quickly and consistently.

The wizard guides new users step by step, whilst the dashboard takes experienced users straight to the relevant actions. Particular attention has been paid to document status and tracking, ensuring that outstanding items and next steps are always visible. In addition, the design has been optimised for white labelling. (Large) companies can add their own logo and branding without disrupting the underlying structure.

Initeam led the preliminary phase with the client and produced the functional specification document. Studio Fox translated this into wireframes, UI design and a compact design system for Initeam’s development team.

Result

Vandelanotte gained a clear, efficient invoicing experience with strong guidance where needed and speed where it counts. The design aligns with the existing brand style, yet is ready for white labelling and future expansions, ensuring the platform can evolve alongside new requirements and regulations.
